Common questions about ChatFlow CRM.

General

Is ChatFlow CRM free to use?

ChatFlow CRM is a one-time purchase product. There are no subscriptions, recurring fees, or hidden costs. AI API usage costs are separate and charged by the AI provider you choose.

Does it work with WhatsApp Desktop app?

No. ChatFlow CRM only works with WhatsApp Web in a Chromium-based browser (Chrome, Edge, Brave, Opera).

Does it work on Firefox or Safari?

Not currently. ChatFlow CRM uses Manifest V3 which is specific to Chromium-based browsers.

Where is my data stored?

All data is stored locally on your device using Chrome's chrome.storage.local API. No data is sent to any external server (except AI requests to your chosen provider).

Can I use it on multiple computers?

Yes, but data does not sync between devices automatically. Use the JSON Backup/Restore feature to transfer your data.

AI Features

Do I need an AI key to use ChatFlow CRM?

No. AI features are optional. The core CRM features (contacts, notes, tags, statuses, reminders, analytics) work without any AI configuration.

Which AI provider should I choose?

How much do AI features cost?

ChatFlow CRM itself doesn't charge for AI. Costs depend on your AI provider. For reference, analyzing 20 messages with GPT-3.5-turbo costs approximately $0.001-$0.003 per request. Gemini offers a free tier.

Are my conversations sent to AI?

Only when you explicitly click an AI action button (Smart Reply, Summarize, etc.). Message text is sent directly to your chosen AI provider. No background processing occurs.

Data & Privacy

Can I export my data?

Yes. ChatFlow CRM supports CSV export and JSON backup. Access these from the Analytics tab or Settings page.

How do I transfer data to another device?

  1. Create a JSON backup from Settings or Analytics tab
  2. Transfer the JSON file to your other device
  3. Install ChatFlow CRM on the other device
  4. Restore the JSON backup from Settings

Is my API key secure?

Your API key is stored locally using Chrome's storage API. It is only sent to the AI provider you've selected when you make AI requests. It is never shared with any other party.

Usage

How does contact detection work?

ChatFlow CRM uses a MutationObserver to monitor WhatsApp Web's DOM. When you click on a chat, it detects the contact name from the chat header and creates or loads the corresponding CRM entry.

Can I use it for WhatsApp groups?

Technically yes — the extension will detect the group name and create a CRM entry. However, AI features work best with individual chats.

What are lead scores?

Lead scores range from 0-100 and indicate how likely a contact is to convert. You can set scores manually or use AI to calculate them based on conversation analysis.
